Terms and Conditions
 
Passports, Visas & Travel Documents:
A valid US passport is required for US citizens. If you do not have a valid passport, please contact your closest passport office in your city or see Passport Information. Passport must be valide at least 6 months after return date. Most countries do not require US or Canadian citizens to obtain visas. For all other nationalities, please consult with your country embassy or consulate. Cancellations due to lack of appropriate documents will incur usual penalties. Demfer Travels USA assumes no responsibility for passport or visa requirements.
 
Participation:
Participants, need to follow instructions given by the Tour Manager. Demfer Travels USA and suppliers contracted for services reserve the right to refuse to accept or retain any person whose behavior is deemed likely to affect the smooth operations of a tour, or adversely affect the enjoyment or safety of toher passengers. Demfer Travels USA, its agents, and suppliers shall be under no liability to any such person for refund, compensation, repatriation or any other matters arising.
 
Deposit and Registration:
A $350 per person deposit is required at the time of booking with a completed reservatin application. Receipt of your deposit shall act as your agreement to the terms and conditions herewith. Mail, fax & e-mail reservations are welcome. Deposit and/or payment in full must be received within 7 days of booking or reservation will cancel as seats are limited. Full payment is due 70 days prior to the departure date. If a booking is made within 70 days of departure, full payment is required at the time of booking. If payment is received less than 30 days before departure, please include a $75 late fee.
 
Form of Payment:
Deposits and Airfare payment must be made by any of the accepted forms Bank/Certified/Checks, Money Orders, or Wire Transfers (pleae fax a copy of bank confirmation when wiring funds). personal checks are acceptable if received more than 30 days prior to departure date. Balance land portion of the payment can be made by Credit Card to Demfer Travels USA (Visa and Master Card). Please include departure date on deposit and balance payment, in order to speed the processing. Every reservation must be accompanied by a signed appplication. Returned checks will incur a $50 service fee. We reserve the right to re-invoice participants with corrected billing, in case of computer or human billing error.
 
Price Guarantee:
Rates shown on wensite are per person, based on double or twin occupancy and are as per each program's inclusions. All prices are shown in U.S. Dollars and are calculated on currency rates and fares in existence on January 1, 2013. If circumstances so warrant, Demfer Travels USA reserves the right to alter the price at any time prior to departure and without prior notice. Any devaluation or revaluation of currencies may affect published price.
 
Not Included:
Items not listed on each program and items of a personal nature, such as telephone calls, mini bar, laundry, food, bottled water, beverages or alcohol not included and not on regular d'hote menu (these extra items will be billed to you before leaving the hotel or restaurant); room service, optional activities, replacement of items forgotten or stolen while on the tour and gratuities to tour escorts, local guides and drivers. Travel Insurance, portage at airports, excess baggage fees and passport or visa fees.
 
Final Documents:
All documents are issued upon receipt of final payment only and are mailed within 3 weeks of departure. Documents are not guaranteed if final payment is not received on time. Upon receipt of your documents you are responsible to check your itinerary, spelling of your name, dates, times and other important information to ensure that they are all correct. In case your final documents have any errors it is the passenger's responsibility to contact Demfer Travels USA immediately.
 
Cancellations and Refunds:

You have the right to concel a reservation, but if you do once a deposit or partial/full payment has been made, cancellations will only be accepted in writing, either by fax, email or letter to Demfer Travels USA. Phone calls cannot be used as a form of cancellation. It is the individual's responsibility to confirm Demfer Travels receipt of cancellation regardless of their form in order to process your request. Regular cancellation terms will be applied based on the date that the written cancellation was receuved, In addition to a $350 per person administration fee, the following charges apply if a cancellation is made before departure (per person of total tour price):

or unused portions of the tour program or any additional personal expense incurred.

Additionally, once tickets are issued (approximately 30-40 days prior to departure) the ticket value is non-refundable. Refunds will be issued within 30 to 60 days of receipt and pending return of airline tickets and receipt of written notice of cancellation. Refunds for payments made by credit card are subject to an additional 4% fee. For payments received by check there will be no additonal fee that is charged for credit card users. No change of dates, names or substitutions are permitted. No refund or cancellation fees will be waived due to death or sickness.

*special trips & events have additional cancellation penalties such as a $500 non-refundable deposit. We advise that you please carefully review the terms and conditions for each trip as per the trip website prior to reservation.

 
Tour cancellation by Operator:
Any disability requiring special attention must be reported to the tour company at the time of booking. The tour company will make reasonable efforts to accommodate the special needs of disabled tour participants, but is not responsible for any denial of services by carriers, hotels, lodges, restaurants, or other independent suppliers, not any additional expenses incurred. Motor coaches and minibuses are not equipped with wheelchair ramps. Individual assistance cannot be provided to a tour member for walking, dining, getting on/off motor coaches and other transportation vehicles, or other personal needs. Travels who need assistance must be accompanied by a qualified and physically able companion. Motorized scooters are unsuitable for touring. Please note that some of our tours require a lot of walking and moving around. Demfer Travels USA is not responsible for any medical conditions that occur prior, during, or after the tour.
 
Travel Guard Insurance:

Demfer Travels USA strongly suggests the purchase of Traveler's Insurance for all participants. Travelers insurance cannot be purchased after your trip is paid in full. Travel Guard Insurance offers a waiver of pre-existing conditions if insurance is purchased at the time of deposit. Travel Guard Traveler's Insurance is available through Demfer Travels USA. Certain countries have a requirement for foreign visitors to have valid medical insurance on entry. Demfer Travels USA cannot be held responsible for denied entry should a participant be unable to provide details to the authorities of such insurance. Insurance premiums are non-refundable.

Air Transportation:
Air transportation is in economy class on scheduled flights and approved carriers. Ticketing must be completed no later than 20 days prior to departure. Fares are based at the time of printing and prices and schedules are subject to change without notice. Air transportation shall be subject to each carrier's respective contracts of carriage. Demfer Travels USA is not responsible for any cancellations, loss, delays, injury, illness, or expenses incurred due to actions made by the airlines. For any issues which arise in relation to airline service complaints and compensation should be addressed to the specific airline carrier directly.
 

 

Add-on Airfare:
Add-on airfares are available from most major US cities. We encourage you to purcahse your domestic airline tickets from Demfer Travels USA whenever possible. Demfer Travels USA is not responsible for any penalties incurred on domestic tickets not purchased from us, in case of changes in the schedule of the tour.
 
Airport Taxes, fees & Fuel Charges:
Airport taxes (up to $800) are included in the tour packages. Airport taxes are based on departure city and government fees (airport taxes include Federal Inspection Fees for the U.S. Customs and Immigration; International Air Transportation Tax; Agricultural tax; security fees, carrier-imposed surcharges and other airport related taxes).
 
Seat Assignment:
There is no advance seat selection and random seats are assigned for all group participants. If you would like to secure a specific seat, or sit with a companion please advise us of such request a the time of booking, we will make an effort to accommodate you, however we cannot guarantee. Early check-in, at least three hours prior to departure is necessary due to security measures taken at airports and will give time to arrange the seat assignment with your airline's gate agent. Bulkhead and exit row seating can never be requested prior to the day of departure. Demfer Travels USA can never guarantee specific seats as seating is solely at the discretion of the airline and pending availabililty, subject to aircraft/seat map changes.
 
Baggage:
Each passenger is permitted to bring one checked suitcase, one small carry on bag (8" x 14" x 22"), and one personal item (i.e. purse, laptop case). In general, the airlines permit 1 checked bag weighing up to 50 lbs (23 kgs) and maximum dimensions of 62 in (158 cm) calculated by adding the length + the width + the height of the bag. Please check with your specific airline to verify the size and weight allowances. You can checkin your luggage from your domestic city of departure all the way to your destination. All baggage is the passenger's responsibility and that of the airline. For lost baggage claims, the passenger is responsible to notify the airline directly. Demfer Travels USA is not responsible for the loss of, theft of, dealy, or damage to luggage or any other passenger's belongings..
 
Land Only:
From time to time, Demfer Travels USA reserves the right to cancel a tour due to non-materialization. If you chose to purchase a Land Only package and arrange your own domestic or international flight independently of us, be advised that Demfer Travels USA is not responsible for domestic or international flights or transfers of any kind. Items booked or purchased outside of Demfer Travels USA are sole responsibility of client. Transfers are NOT included in Land Only costs.
 
Transfers:
Our programs include group round-trip transfers. Pilgrims or passengers who did not purchase "all-inclusive tour" or who purchased land only package and are arriving or leaving independently are responsible for their transfer at their own expense. Expenses incurred for transfers due to delay of flights are at the expense of the passenger and may be claimed for reimbursement from the airlines. No smoking is allowed on motor-coach.
 
Physicality of our Tours:

Please note that almost all destinations serviced by Demfer Travels USA require physical fitness and a lot of walking, sometimes up/or down the hills and at times very rough terrain. You may certainly stay behind for certain parts of the journey, however, it is suggested that 3 to 4 233ks before your departure one should begin preparing physically, begin walking "briskly" 1-2 times a day; build up to 2-3 mils with no discomfort.

 
Hotel Accommodations & Single Supplement:
Hotel accommodations ae based on two persons sharing twin-bedded or double room. On certain departures, due to seasonal demands, Demfer Travels USA reserves the right to alter itineraries and substitute similar category hotels without prior notice. A limited number of single rooms are available at the supplement price. While single room provides privacy, the room in some hotels is smaller than twin or double room and sometimes may be poorly located. if passengers are traveling without a companion and wish to have Demfer Travels USA assign a roommate we will do our best in assigning a same sex roommate for you, otherwise, the passenger will be responsible for additional Single Supplement fees.
 
Meals:
Daily breakfast and dinner are included in most trips. Meals are usually served at your hotel. Dinner may be served at a local restaurant too. Beverages are not included with dinners where not indicated. In case you chose not to have a meal, there is no refund for unused meals. Although we cannot guarantee, Demfer Travels USA will try and accommodate each special meal request on flights as well as at hotels. Please advise Demfer Travels USA of such a request at the time of booking and we cannot guarantee that special meal/diet requests can be met .
 
Responsibility Clause:

Demfer Travels USA LLC acts as a tour operator. Transportation, sightseeing arrangements and hotel accommodations for the tour program are provided by the suppliers and they are independent contractors and are not agents or employees of Demfer Travels USA. All bookings are accepted subject to the conditions imposed by suppliers & operator, including airline, cruise line, rail, coach, hoel, restaurants, insurance and other companies, firms or persons concerned with the trip, and operator will make no refund in the event of their delay, cancellation, overbooking, strike, force majeure or for elemnts of the package not used by customer. If there is a difference between operator conditons and thsoe published by a supplier, the conditions of supplier shall apply. All coupons, receipts and tickets issued are subject to the terms and conditions specified by suppliers. By utilizing the service of the suppliers, you agree that Demfer Travels USA will not be liable for any change in flight or itinerary schedule, strikes, delay, acts of governments, fires, riots, theft, pilferage, epidemics, quarantine, medical or customs regulations, accident, loss, injury, or accommodations, transportation or any other services or resulting directly or indirectly from any occurrence or conditions beyond its control, including defects in vehicles, breakdown in equipment, thefts, delay or cancellation of or changes in itinerary for any act, omission, or event during the time you are on board the aircraft. Neither Demfer Travels USA and/or agents of airlines concerned are to be held responsible for the late arrival of passengers at airports or hotels due to inclement weather, nor at they to be held liable for payment or any refund for transfers or unused hotel accommodations or meals occasioned by such late arrivals at the hotels holding rooms as confirmed itineraries. Passengers must beach all such losses or expenses. To guard against unforseen healthor other circumstances, we recommend you purchase our insurance. Demfer Travels USA is not responsible for circumstances beyond its control. In circumstances where trip cancellations resulting from the inability for tip to depart as scheduled, such as cancellations due to acts of war and/or terrorism, war, God, or nature takes place, Demfer Travels USA is not liable for restitution. Though every effort will be made to follow the itinerary, it should be considered as an indication of the tour, rather than a contract of places to be visited. Occasionally local religious holidays, national days, traffic conditions and other events may necessitate changes in the sequence of visits or the missing of certain visits. We will have daily Mass and strive to be in places as indicated. However, sometimes this is not possible as the site may not be available for Mass or itinerary changes are foced upon us. In this case an alternateive site for Mass will be arranged. Operator reserves teh right to correct an error on the website or advertised price prior to your departure. A contract is made when your reservation and payment are accepted by operator at its office, and any dispute shall be governed by Arizona law and subject to the jurisdiction of Maricop County, Arizona. In calculating the cost of your trip, the operator has relied on your consent to these terms and in the absence of this release, the trips cost would have been higher. Opeator reserves the right to substitute hotels of similar quality at any time or to make changes in itinerary to a similar quality.

 
Special Medical Conditions/Those who need special assistance:
Any disability requiring special attention you must report to Demfer Travels USA at the time of registration for any tour. We make every effor to accommodate disable passengers by reserving for them wheelchair assistance at airports and handicap accessible rooms where available, however, we cannot guarantee and are not responsible for any denial of services by carriers, hotels, restaurants, or other independent suppliers. Be aware that all of our tours are operated outside the U.S. where the Americans with Disabilites Act are not applicable and facilities for disabled individuals are limited. Most transportation services, including the touring motor coaches, are not equipped with wheelchair ramps or lifts. We regret that we cannot provide individual assistance to any tour participant for walking, dining, while in their room, on flight, getting on and off motor coaches and otehr vehicles, or other personal needs. A qualifeied and physically able companion(s) must accompany those who need special assistance prior to making their reservations. Motorized scooters are unsuitable and impossible to accommodate. Demfer Travels USA is not responsible for any medical condition that occurs prior, during or after the tour. Additionally, airlines are not able to guarantee or provide assistance for disabled passengers including specail seating.
 
Safety:

Please be aware that during your participation on tours operated by Demfer Travels USA, certain risks and dangers may arise beyond our control including, but not limited to, the hazards of traveling in undeveloped areas; by boat, train, automobile, aircraft or other means of transportation; the forces of nature, political unrest and accident or illness in remote regions without means of rapid evacuation or medical facilities. Demfer Travels USA does not have liability regarding provisions of medical care or the adequacy of any care that may be rendered. Demfer Travels USA is not responsible for compensation for cities/sites omitted from the itinerary due to circumstances beyond its control.
